Job Description
UFAZ is an ambitious project initiated by the Presidents of the Republic of Azerbaijan and the French Republic in 2014. It is administered by the historic university of Azerbaijan - the Azerbaijan State Oil and Industry University (ASOIU) from the Azerbaijani side and the prestigious University of Strasbourg (Unistra) from the French side.
UFAZ delivers 2 national diplomas (Azerbaijani and French) at the Bachelor’s level in the following specialties: Computer Sciences, Chemistry, Chemical Engineering, Geosciences and Geophysical Engineering, Oil and Gas Engineering. And at the Master’s level in the following specialties: Data Science and Artificial Intelligence, Physical Chemistry/Chemical Engineering, Geosciences, Water Resources and Management. Tuition language is English.
Position name: Event and Project Manager
Position in the organizational structure: Attached to the Executive Director of UFAZ
Type of contract: Full-Time
Starting date: 15.06.2025
Responsibilities
Event Management
- To plan and execute a variety of events including conferences, academic symposiums, student activities, institutional ceremonies (graduation, orientation), workshops, and public lectures.
- To coordinate logistics including venue booking, technical requirements, catering, guest management, and on-site setup.
- To liaise with internal departments, external vendors, and stakeholders for smooth execution.
- To prepare and manage event budgets, timelines, and reports.
- To ensure events reflect the values and standards of UFAZ, maintaining high levels of professionalism and hospitality.
Project Management
- To oversee short- and long-term institutional projects, including academic collaborations, outreach programs, and university initiatives.
- To develop project plans, define scope, objectives, milestones, and deliverables.
- To monitor progress, manage risks, and ensure timely and successful project completion.
- To coordinate with departments and partners to ensure alignment with strategic goals.
Communication and Reporting
- To collaborate with the Communications team to promote events internally and externally (social media, newsletters, press releases).
- To track and report on event and project outcomes, including feedback collection and impact assessment.
Student and Partner Engagement
To facilitate engagement with students, alumni, and institutional partners during events.
Requirements
- Master’s degree in Event Management, Communications, Business Administration, or related field.
- Minimum 1-2 years of experience in event and/or project management.
- Excellent organizational and multitasking skills.
- Strong interpersonal and communication skills in English and Azerbaijani (French is a plus).
- Proficient with Microsoft Office Suite, event management software, and collaboration tools. (Word, Excel, Outlook, etc.)
- Ability to work independently and under pressure in a dynamic academic environment.
- Ability to write an official letter in Azerbaijani and English.
